What we collect
When you book or stay with us, we collect the details needed to host you: your name, contact details, stay dates, the guests in your party, your preferences and requests, and billing information. Payments are handled by specialist payment providers; we never store your full card number.
When you contact us by email, phone, WhatsApp or a booking platform, we keep the messages so we can help you.
On our website and booking engine, we collect what you choose to give us. If you start a booking and tick the box asking us to email you a link to finish it, we store the details you entered, including your email address and the dates you selected. If you opt in to our newsletter, we store your email address for that purpose.
How we use your information
We use your information to manage your booking and your stay, to reply to you, to send you what you have asked for, and to meet our legal obligations as a French hotel business, such as invoicing and accounting. Where we send you marketing, we do so only with your consent, and every message includes a way to stop.
If you asked us to email you a link to finish a booking, we send you one reminder. If you do not book, we delete those details within 30 days.
How we use AI
We use artificial intelligence tools to help us run the hotel. This includes drafting and organising replies to your messages, managing bookings, preparing schedules, and preparing the emails we send you. As a result, information you share with us, such as your name, contact details, stay dates and messages, may be processed by AI service providers acting on our instructions.
These providers process your information only to provide their service to us. They are contractually restricted from using it for their own purposes, including the training of their AI models. Our team remains responsible for what we send and decide: no decision producing legal or similarly significant effects about you is made by automated means alone.
Who we share it with
We share information with the service providers who help us operate: our property management and booking system, payment processors, email and messaging providers, our IT and automation partners, and the AI providers described above. If you booked through a platform such as Booking.com or Expedia, we exchange the information needed to manage that booking with them. We never sell your personal information.
Some of our providers, including AI providers, are based outside the European Economic Area, notably in the United States. Where that is the case, we rely on safeguards approved under EU law, such as the European Commission's Standard Contractual Clauses.
How long we keep it
We keep booking and invoicing records for as long as French law requires. We keep correspondence for as long as it is useful to look after you as a guest. Abandoned booking details are deleted within 30 days unless you book. Newsletter details are kept until you unsubscribe.
Your rights
You can ask us at any time to access, correct, delete, or transfer your personal information, to restrict or object to our use of it, and to withdraw any consent you have given. Write to stays@villa-st-maxime.com and we will respond promptly. You also have the right to lodge a complaint with the French data protection authority, the CNIL (www.cnil.fr).
Cookies and analytics
Our website and booking engine use cookies and similar technologies for analytics and advertising, including services provided by Google and Meta. Where the law requires it, these are used only with your consent. You can also control cookies through your browser settings.
Changes to this policy
If we change this policy, we will publish the new version on this page with a new date.
